RecruiterVault Terms of Service

Effective Date: November 21, 2025

Welcome to RecruiterVault (“we,” “our,” “us”). These Terms of Service (“Terms”) govern your access to and use of RecruiterVault’s recruiting platform, data systems, automation tools, and related services (collectively, the “Services”).

By accessing or using the Services, you (“you,” “User,” or “Subscriber”) agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, please do not access or use the Services.

1. Overview of Services

RecruiterVault is a subscription-based recruiting platform designed for life-insurance agencies and recruiters. It provides:

  • Access to verified, licensed life-insurance agent data refreshed monthly.

  • Automated LinkedIn and email outreach via Piper A.I., RecruiterVault’s built-in recruiting automation system.

  • Access to dashboards, CRM integrations, and recruiting workflow tools.

All use of these Services is governed by this agreement.

2. Eligibility and Account Registration

  • You must be at least 18 years old and legally able to enter into binding contracts to use RecruiterVault.

  • You agree to provide complete, accurate, and up-to-date information during registration and to keep it current.

  • You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account.

  • RecruiterVault reserves the right to refuse, suspend, or terminate any account at its sole discretion if misuse or violation of these Terms is detected.

3. Subscription Plans and Fees

  1. Subscription Model
    RecruiterVault operates on a monthly subscription basis. Each plan includes a set number of verified agents and access to Piper A.I. automation.

  1. Setup Fee
    A one-time $999 setup fee applies to all new accounts (discounts may apply through authorized programs such as Level Up Loyalty).

  2. Billing

    Subscriptions are billed automatically each month in advance to your authorized payment method.

    You authorize RecruiterVault to process recurring charges until cancellation.

    Payments are non-refundable except where required by law.

  3. Cancellations and Upgrades

    • You may cancel or modify your subscription at any time through your dashboard or by contacting support.

    • Cancellation takes effect at the end of your current billing cycle.

    • Access to verified data and automation tools ends when your paid term expires.

    • If you cancel but want to keep access to your RV leads inside the Level Up CRM, you may continue your CRM access for a Monthly CRM Access Fee of $99.

4. License and Data Access

  • RecruiterVault grants you a limited, non-exclusive, non-transferable, revocable license to access and use the Services for internal business recruiting purposes only.

  • You are licensing access, not purchasing ownership, of RecruiterVault’s verified agent data.

  • All agent data remains the exclusive property of RecruiterVault and/or its data providers.

  • Data may not be resold, transferred, exported, or shared externally outside your organization without written consent.

  • Data accuracy is maintained through automated verification and monthly refreshes; however, RecruiterVault cannot guarantee every record’s completeness or timeliness.

5. Permitted Use and Restrictions

  • RecruiterVault grants you a limited, non-exclusive, non-transferable, revocable license to access and use the Services for internal business recruiting purposes only.

  • You are licensing access, not purchasing ownership, of RecruiterVault’s verified agent data.

  • RecruiterVault provides non-exclusive access to verified agent data. The same agent records may appear in multiple client accounts. Clients license access for recruiting purposes only and acknowledge that data exclusivity is not guaranteed.

  • All agent data remains the exclusive property of RecruiterVault and/or its data providers.

  • Data may not be resold, transferred, exported, or shared externally outside your organization without written consent.

  • Data accuracy is maintained through automated verification and monthly refreshes; however, RecruiterVault cannot guarantee every record’s completeness or timeliness.

6. Piper A.I. Automation

  • Piper A.I. is an automated recruiting assistant built exclusively inside RecruiterVault.

  • It performs outreach on your behalf across LinkedIn and email, using customizable templates and sequences.

  • RecruiterVault ensures compliance-based automation; however, you are responsible for reviewing and approving your messaging content.

  • RecruiterVault disclaims liability for third-party messaging platform restrictions, temporary suspensions, or API limitations resulting from your account behavior.

7. Data Privacy and Security

  • RecruiterVault implements commercially reasonable measures to protect user and agent data from unauthorized access or misuse.

  • All data processing follows the RecruiterVault Privacy Policy and applicable privacy laws.

  • You agree not to misuse or disclose personal information obtained through the platform.

  • Upon cancellation or termination, your access to agent data will be revoked.

  • Some information may be retained as required for billing, compliance, or legal purposes.

8. Service Availability and Modifications

  • RecruiterVault may update, improve, or discontinue parts of the Services at any time without notice.

  • Temporary interruptions may occur due to maintenance, updates, or third-party service dependencies.

  • RecruiterVault is not liable for downtime, performance delays, or data access interruptions.

8. Service Availability and Modifications

  • The Services are provided “as is” and “as available.”

  • RecruiterVault disclaims all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement.

  • RecruiterVault does not warrant:

    • That the data or automation will produce specific recruiting results.

    • That all communications will reach intended recipients or result in hires.

    • That the Services will be uninterrupted or error-free.

  • You assume full responsibility for the outcomes of using RecruiterVault’s data and automation tools.

10. Limitation of Liability

  1. To the fullest extent permitted by law, RecruiterVault, its officers, employees, and affiliates shall not be liable for any:

    • Indirect, incidental, special, or consequential damages,

    • Loss of profits, revenue, goodwill, or data,

    • Or damages resulting from your use or inability to use the Services.

  2. RecruiterVault’s total aggregate liability for all claims under these Terms shall not exceed the total subscription fees paid by you in the twelve (12) months preceding the claim.

  3. You agree to defend and indemnify RecruiterVault against any third-party claims arising from your misuse of data, breach of these Terms, or violation of applicable laws.

11. Termination and Suspension

  • RecruiterVault may suspend or terminate your account if:

    You violate these Terms or misuse the Services,

    Payment fails or remains overdue, or

    Fraudulent or abusive behavior is detected.

  • Upon termination:

    Your access to the platform, verified data, and automations will end immediately.

    Outstanding balances become due and payable.

  • Certain provisions, including Sections 4, 6, 7, 9, 10, and 12, survive termination.

12. Intellectual Property

  • All RecruiterVault software, designs, trademarks, content, and documentation are owned by RecruiterVault or its licensors.

  • You may not copy, modify, distribute, or create derivative works from RecruiterVault’s materials.

  • “RecruiterVault” and “Piper A.I.” are registered trademarks or proprietary marks of RecruiterVault, Inc.

13. Governing Law and Dispute Resolution

  • These Terms are governed by the laws of the State of [Insert State], without regard to conflicts of law.

  • Any dispute arising out of these Terms shall be resolved through binding arbitration in [Insert City, State].

  • Both parties waive the right to participate in class actions or jury trials.

  • You agree that any claim must be filed within one (1) year of the event giving rise to it.

14. Miscellaneous

  • These Terms constitute the entire agreement between you and RecruiterVault and supersede all prior agreements.

  • If any provision is found invalid or unenforceable, the remaining provisions remain in effect.

  • RecruiterVault’s failure to enforce a right is not a waiver of that right.

  • You may not assign these Terms without our prior written consent. RecruiterVault may assign or transfer these Terms freely.

  • Section headings are for convenience only and have no legal effect.
